LocalMotion (hereafter referred to as “we”) respects your privacy and is committed to protecting it through the adoption of this personal information collection statement (“Personal Information Collection Statement”). It guides and governs how we collect, store, transfer, process and use personal data collected about you. Please read this carefully to understand our policies and practices as set out in this Personal Information Collection Statement regarding your personal data and how we will treat it (the “Policy”).

If you do not agree with our Policy, do not enter your personal data or register to receive communication from us. This Policy may, in our sole discretion, be updated, modified, and changed from time to time. Your continued use of our website, www.localmotion.hk (“Site”) after we make such updates, modifications, and changes is deemed to be acceptance of such, so please check the Policy periodically for updates.

We comply with the Personal Data (Privacy) Ordinance (“Ordinance”). You may visit the website of the office of the Privacy Commissioner for Personal Data at https://www.pcpd.org.hk for more information. 

Why do we hold your data?

We hold your personal data for a variety of reasons, including by not limited to:-

  • processing your application as a user of the Site;
  • verifying your identity;
  • implementing skills based volunteering projects;
  • assessing the benefits of skills based volunteering;
  • undertaking research to understand best practices with respect to skills based volunteering to improve our programmes;
  • direct marketing purposes to send you information, newsletters and other material about us, including event invitations and updates (see “Direct Marketing” below);
  • communicating with your regarding your account and potential skills based volunteering projects;
  • dealing with complaints or requests for personal data or information; and
  • meeting our legal obligations including making such disclosures as required by applicable laws.

While the supply of your personal data is voluntary, if you choose not to provide your personal data to us, we may not be able to provide you with the information or our services you require.

Direct Marketing

We intend to use your name, mailing address, phone numbers and email address for direct marketing purposes to send you information, newsletters and other materials about us and event invitations. We cannot use your personal data for direct marketing without your consent (or indication of no objection). If you do not want your personal data to be used for direct marketing, you can opt-out at the time of creating your account, or any time thereafter. If you consider this use of your personal data unacceptable, please indicate your objection by contacting us at getinvolved@localmotion.hk.

We intend to display your photograph, name, company and contact details (phone numbers and email address) on our Site’s “members area”. Only other site users have access to the members’ area. Other Site users may view your personal data. We cannot display your Personal Data without your consent (or indication of no objection). If you consider this use of your personal data unacceptable, please indicate your objection by contacting us at getinvolved@localmotion.hk.

What kind of data do we hold?

Individual Volunteers:. We hold personal information including but not limited to your personal particulars, details about your education and skills, any preferences to organisations or causes, your qualifications, awards and employment history. We also hold information about you in connection with any skilled volunteering projects you apply for or complete through us, including but not limited to confidentiality agreements, non-binding letters of volunteer engagement and deliverables. We also retain information contained in your account, any submissions to the “conversations” feature, how many hours you have contributed to projects and organisations as well as personalised feedback from charities and social enterprises.

Corporate Volunteers: We hold information on your organisation including but not limited to the company’s particulars, information about any staff who have subscribed to our site through a company email address, along with information about their education and skills, any preferences to organisations or causes, their qualifications, awards and employment history. We hold information contained in your account and company administrator profile as well as any confidential information that may have been disclosed during our vetting process. We also hold information about your company and its staff in connection with any skilled volunteering projects that are applied for our completed through us, including but not limited to confidentiality agreements, non-binding letters of volunteer engagement and deliverables. We also retain information regarding how many hours your company and staff have contributed to projects and organisations as well as personalised feedback from charities and social enterprises. Moreover, we hold information about your company’s total impact and trends about how your staff use our site as well as any submissions to the “conversations” feature.

Charities and Social Enterprises: We hold information on your organisation including but not limited to the company’s particulars, information contained in your company account and company administrator profile as well as any confidential information that may have been disclosed during our vetting process. We also hold information about you in connection with proposed or completed skilled volunteering projects, including but not limited to confidential information relevant to the projects and confidentiality agreements, nonbinding letters of volunteer engagements, final deliverables, how many hours individual and/or corporate volunteers have spent volunteering for you, the value and any personalised feedback for volunteers.

Conversations Feature: Our Site contains a “conversations” feature that us to communicate with you via the Site. Conversations also allows volunteers (whether individual or corporate) to be put in direct contact with charities and social enterprises. We retain any information obtained or submissions made via the conversations function on our Site.

Do you give my data away?

With the exception of sharing your data with other parties on our Site for the purpose of skills based volunteering projects, we do not share any personal information and data with third parties without your consent or as required to do so by law.

Some of the persons to whom we disclose personal data may be situated outside Hong Kong, but will be done so in compliance with any requirements set out in the Ordinance.

Security

We take appropriate measures to ensure that the personal data disclosed to us is kept secure, accurate and up to date and kept only for so long as is necessary for the purposes for which it is used.

Protecting your Privacy

Whilst we take all reasonable steps to protect your personal data and to limit the uses of your personal data, as described in this Privacy Policy, we cannot guarantee that the personal data will remain constantly secure. There is always a possibility that your personal data could be lost due to technical problems or stolen from our databases by malicious computer users. We will not be held responsible for any such loss or theft.

Data Access or Correction Requests

Pursuant to the Ordinance’s requirements you are entitled to check whether we hold data about you and to have access to that data. If any of this data is incorrect or inaccurate, you have a right to update it or correct it. Requests for access or to correct personal data should be addressed to getinvolved@localmotion.hk in writing.

In accordance with the Ordinance, we may impose a reasonable charge involved with processing any data access or correction requests.

Retention of Data

We will keep your personal data for as long as necessary to fulfil the purpose for which the personal data was collected. Personal data which is no longer required will be destroyed.

We will not retain your personal data if you request us to close your account. In the case of account closure, we will erase your personal data as soon as practicable after we are no longer obliged to retain such data by law.
